Arnold & Porter has a Legal Secretary opening in the Shanghai office. The Legal Secretary will assist attorneys, the office manager, and other legal personnel with administrative, organizational, and clerical work in a team-oriented and collaborative environment.The tasks for this position mainly consist of administrative activities with a variety of other secretarial activities in between. The Shanghai team works closely with other departments and teams based in Asia, Europe, and the United States on a daily basis and has an international practice. The firm in general has a high focus on professional development and the well-being of its employees.Responsibilities Include But Are Not Limited To Accurately and quickly handling incoming calls from the front desk and greeting visitors at the front desk reception. Checking and arranging the daily office supply needs (stationery, printing paper and other consumables). Coordinating and managing property personnel, including the office environment (cleaning, greening, etc.) matters. Preparing, editing, and proofreading legal documents. Assisting with all aspects of court proceedings and client meetings; organizing exhibits, notebooks, charts, graphs, memorandums, and other legal documents as well as visual aids for same. Diligently and efficiently managing attorneys’ Outlook calendars. Arranging conference/video conference calls, Zoom meetings, Microsoft Team meetings, etc. Assist with handling physical documents (including handwritten notes) and organizing and photocopying hard copy documents and PDFs with attorneys, the office manager, and other staff in the office. Tracking, entering, and processing expenses and invoices through Emburse. Coordinating and scheduling attorney travel. Maintaining an awareness of attorneys' caseloads and statuses. Establishing attorneys' files in electronic and hard copy format. Maintaining physical and electronic case files, documents, and databases. Handling and retrieving physical files and other requests as needed. Working with Microsoft Office (Word, Excel and PowerPoint) and other firm applications, as necessary, to complete specific assignments.
Job Requirements
Qualifications University degree preferred. Minimum of two years of prior professional services or legal experience. Native Chinese speaker. Ability to read, speak, and understand English grammar, spelling, and punctuation. Minimum of 60 words per minute typing. Requires honesty and reliability. Detail oriented and a team player. Ability to maintain a high level of confidentiality. Strong problem solving skills. Ability to prioritize and manage time effectively. Possess reliability, dependability and motivation. Excellent organization and communications skills, both oral and written. Ability to work in a fast-paced environment while exhibiting a strong attention to detail. Ability to handle a variety of tasks simultaneously. Exceptional client service, both internal and external. Flexibility to work additional hours, as necessary.
