Our three magazine titles – the Beijinger, Agenda, and BeijingKids – cater to the distinct needs of people living in BeijingJob Purpose The HR & Admin Assistant supports the HR & Admin Manager in all HR & Admin-related work, including the maintenance of HR records, processing and administration of employee benefits, recruiting, and creation and maintenance of HR SOPs. The HR & Admin assistant also assists in the improvement and upkeep of the office environment. Responsibilities • Assist in the recruitment and selection process • Ensure all new employee follow the SOP for new hire and are provided with a proper orientation. While all new employee documentations are signed by the relevant parties and filled accordingly. • Manages foreign employees’ working visa. This includes visa renewals, transfers and application of working visa for new foreign employees within the allocated budget. Ensuring visa SOP meets all government and legal requirements. • Manage employee benefits (Foreign employee health insurance, Chinese employee social insurance and housing fund) by ensuring monthly updates are provided to the Finance department and payments are made in a timely manner. While any changes to employee benefits must be promptly and accurately communicated to the relevant parties involved. This also includes maintaining an updated government policy on employee social benefits. • Administer and assist employees in leave applications, and keeping updated records which are to be communicated to the Finance department in a timely manner. • Maintain the HR calendar to ensure probation review, contract renewal, performance reviews, visa renewals and HR deadlines are completed on time. • Manage all HR related documentations. Ensure all documents are bilingual and relevant updates are made as required. • Organise and maintain employee files by ensuring all information are accurate and up-to-date. • Administer employee department transfer process and exit process for employees leaving the company. • Assist in office administrative tasks • Complete ad hoc HR & Admin tasks as required
Job Requirements
Essential Characteristics: • Must be bilingual (Native Chinese with excellent English) • Exceptional communication skills • Ability to multi-task • Excellent organizational skill • Fast learner • With a "Can-do" attitude
